Can I manage and track document versions using TriDoc?
A document registered in TriDoc has at least one version, but there might be several
versions registered one after the other.
The TriDoc system gives a three-level version number for each document version, which can be entered either by the user, or generated by the
system. In both cases, it is guaranteed that the document is registered
with a version number that is greater than the last one.
In the TriDoc standard system it is not permitted to modify already finalized document versions. The document version is saved in the status it had been saved in the moment of finalizing. If a modification is needed a new version needs to be created.
All document versions contain attached documents and meta data. The meta data serves identification of the document version.
Can TriDoc manage emails?
Yes. You may send Outlook emails directly from Outlook into TriDoc. Emails and all their attachements are stored and managed just the way other documents are.
To register e-mails automatically you may define registration channels at the 'Business customization/E-mail, Fax integration' menu.
Can we store images in the TriDoc Easy document management software?
Yes. In TriDoc you can store all type of electronic files.
Does the TriDoc document management software allow users to send documents in emails to external people?
Yes. Documents can be sent to external users, who do not have a TriDoc account directly from the document datasheet.

Does TriDoc Easy document management software store documents in their native formats?
Yes. TriDoc stores documents (all types of files) in their native formats. Registered documents are located in the database (MySQL).
Does TriDoc support document locking?
The TriDoc system supports easy document creation in work groups. Users, who want to edit the document on their own, may disable editing of the document sheet. Locked documents can be unlocked only by the user who has disabled editing.
How are documents stored?
Documents and are stored in a central database.
How can I customize the format of registry numbers?
The format of registry numbers can be defined at Administration/System settings.
The document registry number ({DOCREGNUM}) consists of the following elements:
▪ {REGBOOK} – Name of the registry book defined in the core data.
▪ {REGNUM} – Sequential number, for each registry book separately, reset at the beginning of each year.
▪ {YYYY} – Year of registry.

How can I open the registered document files?
Open document files in the Document list:
Set the filter parameters to search for the required document and then press 'Show'.
The list will show all document datasheets that meet the search parameters. Select the record you are looking for.
By clicking on the document type icons you can find in the columss 'Approved' and 'New' you can open the document files attached to the approved version or to the newest version of the given document.
Documents will open in the appropriate client application!

Download and open document files from the document datasheet:
You can open the document datasheets of already registered documents by double clicking on the given record in the Document list or in the Archive-hits list.
Select the version you are looking for from 'Document versions'.
Browse the attached files list and select the file you are looking for. Press the 'Download' button.
How do you restrict the access to documents produced by a department?
The TriDoc system allows assigning different access roles to restrict user access to the documents.
With category access rights you can control users to access the document provided the respective function right has been assigned.
You can associate category rights to the following:
To all valid document categories created as core data type.
With project access rights certain additional rights might be granted to the users, that otherwise would not be possible to rule sufficiently with the category access rights.
For example, if users are granted the following access rights:
Function access right: Document list XXX- Full right,
Category access right: 02. Offers XXX-Full right,
Category access right: 01. Contracts ___-No Access,
then, according to the settings, the users could not see the contracts in the document list.
With project access rights you can grant access to all documents of a particular selected project, i.e. also to the contracts of the project. As an effect users will only see those contracts that belong to the particular project, whereas documents of other projects cannot be seen.
You can associate project access rights to the following:
Projects (all project documents that are linked to a particular project).
How many documents can TriDoc effectively manage?
TriDoc has no explicit limit to the number
of documents and records it can manage. The systems performance depends
on infrastructure characteristics and the number of concurrent users.

I would like to record the date of fulfilment for invoices. How can I do this?
In the TriDoc system you have the opportunity to use 30 custom fields.
Let's create a custom field in the Customise fields menu! Add the field name, select the type (e.g. date field) and enter where you want to display the field (on the datasheet, as screening fields, in tables or in print).
TIP: You can not only create custom fields for documents, you can use them also for companies and individuals!
Is there a limit to the file size I can upload?
The maximum size of files to be uploaded can be defined by your system administrator. (To set the parameter go to Administration/System settings.)
Our company uses registration numbers of an existing format. How could this be transferred into the TriDoc system?
In the System settings menu you have the opportunity to define the format of the registration numbers used in the TriDoc system. Enter the the previously used registration number format and press the Save button.
{REGBOOK}/{REGNUM}/{YYYY} - is the standard format used in TriDoc
For example you can change it like this:
{REGBOOK}-{REGNUM}
Don't forget! Registration books are core datas, you can modify them as you like!
The initial registration number value can also be changed! (the predefined starting number is 100000)
What do the small lock icons mean?
Users, who want to edit the document on their own, may disable editing of the document sheet. In case of documents disabled for editing, only the person who has disabled editing may upload a new version. Once the user has uploaded the new version, editing can be enabled again, so that other users may again upload files.
The small icons show if the given document is locked or not. The icons can be found in the 'Document list' and also on the 'Document registration' screen.

What happens if I finalize a document version?
If we finalize a document version in the TriDoc system, changes can't be made any more on the given version. (A document version can only be finalized by an authorized user.)
If the document has an approval process to go, the approval workflow will be initiated with the finalization.
If there is no approval process to go, the finalization will put the document version in an archived status.
What type of documents can I register?
The TriDoc system enables to attach any type of documents to the registered document datasheets.
Some examples of supported formats:
Doc, docx, ppt, odt, odg, pdf, rtf
Ods, xls, csv
Html, eml
Jpeg, jpg, png, gif, tif
Zip, rar, arj
Mov, mpeg, mp3, mp4, etc..
When do I use the Associated documents tab on the ’Document registration’ screen?
In the TriDoc system you can link related documents. The linking of documents can be done here. Click the ’+’ sign and search for the document you would like to link to you active document. Double-click on the selected document or drag and drop it to the related documents list. Don’t forget to click Save.
Documents can be removed using the ’-’ sign.
